Saving Client Information

Information, particularly about your clients, is something that is of essence to have. Do not ever take on a client without obtaining the “standard set” of information such as full name, address and phone number! If you get into trouble with the client (and I am not necessarily saying that it will happen), you will be left with hardly no chances of ever sorting it out, as you cannot get in touch with your client properly. There is also a good market strategy to be gained from if you save the right info in addition!
What You Should Save?
Look in the address book of your choice. Whether it is on your computer or if you store your contact information in an “old-fashioned” address book. There will most certainly be fields that give you a hint of the standard things that you just need to have.
- Full Name
- Title & Company
- Phone
- Address
Having this standard set of info will definitely have you prepared in-case a client will not respond to your emails or refuse to pay invoices. As I said however, there can be a marketing strategy to be gained from by saving other right information!
The Golden Information
If you get ahold of some extra information, you can really shine. A major example here is birthdays. If you can send your client a Happy Birthday notice, it will have a great impact on the relationship. Depending on your method for acquiring the information above, birthday might be something that you can add to the list. Most time, you cannot. Many clients guess that info like that will be used for exactly that purpose or will just wonder why you need it. It will then loose its purpose.
Saving it Securely
When you’ve obtained the info, keep it securely. Don’t let anyone have access to it. Show that you care about your client privacy protection and make sure they know. This will not only give you another good point about your business, but save you headaches if something gets away because you saved it in an easy to get-to way.
